We love free books, so we’re celebrating the end of the year with a 2-for-1 book fair! The sale will be May 26 from 2:30-5 p.m. on the stage. We hope to see you there!
Our annual uniform swap is May 26 from 2:30-5 p.m. Please drop off your donations by Friday, May 21 so they can be sorted. You can also bring them to the PHAST booth at the Spring Carnival on May 20. Please be sure to wash the clothes before you donate them.
Thank you to those who have signed up to help with the carnival on Thursday. We still need a number of volunteers to help with the BBQ and concessions.
Thanks to the generous support we received in the fall donations and your support of the BoxTops program, our Spring Carnival is FREE. But, we still need some help with the concessions.
The Carnival is Thursday, May 20th from 5:30-7:30pm.
We need people to help BBQ and to sell food. We will not be manning any of the bouncy houses or slides. There will be three shifts – SHIFT #1: set-up from 5 to 5:30; SHIFT #2: 5:30 to 6:45; and SHIFT #3: 6:30 – 8pm.

Moms and Muffins is scheduled for Wednesday, May 12. Breakfast, books, and time with your kids–can you think of a better way to start your day?
Muffins will be served in the Science Room from 7:45 a.m.-8:00 a.m. Students may then take their moms to their classroom, where they can read a favorite book together. Moms can either stay in the classroom until 8:25, or take their kids to the gym if they need to leave. You may bring pillows, blankets, and books if you would like!
**If moms have more than one student attending Providence Hall, they may visit each classroom, but all students must be in the gym or their own classrooms by 8:25 a.m.**
A Providence Hall parent let us know JC Penny has Arizona Jean Company brand polo shirts in our dress-code colors on sale through this weekend. They normally sell for $19.99 and they’re on sale for $8.99. Now is a great time to stock up!
The election for the 2010-2011 PHAST Executive Council is this month. If you or someone you know would like to be part of PHAST, please read the job descriptions below and send an email to our current president, Stephanie Soper, at gskan5@comcast.net, with your nomination.
Vice President
- Work in conjunction with and acting as an aid to the President. Represent the President upon request and assume the duties of the President in the absence or inability of that Officer to serve.
- Automatically succeed to the office of President at the end of their term. Succeed also to the School Community Council and sit on the Board of Trustees for the following year.
- Have the authorities to co-sign checks only when authorized to do so by the President.
- Perform such other duties as may be prescribed in these bylaws or assigned to him/her by PHAST or by the Board of Trustees.
Treasurer
- Responsible for collecting, counting, and depositing incoming funds at PHAST activities and fundraisers.
- Maintains bank account statements, and submits a monthly budget report to the Executive board.
- Issues payment and refund checks for outgoing PHAST funds.
Fundraising Director
- Oversee all of BoxTops, merchandise, Capri Sun/soup labels and book fairs.
- Work with Treasurer on fall donation campaign
- Primary planner for special fundraising events (spring carnival, Chick Fil-A night, etc.)
- Work with corporations on advertising, sponsorships, etc.
- PR for all fundraising activities.
Secretary
- Take minutes at every meeting.
- Have meeting minutes typed and ready one week after the meeting(send them to the president via e-mail), ready for submission to the board.
- Be able to attend all meetings and participate in voting privileges.
- Notify all Executive Council members of upcoming meetings at least 1 week in advance.
- Notify school administration of the events coming up.
- Provide calendar to all executive board members.
- Oversee school directory and membership.
Communication Director
- Work in conjunction the Secretary and fulfill all duties as assigned to him/her.
- Be responsible for the organization and execution of Public Relations, maintaining constant communication between the school, parents, students, and community.
- Notify PHAST members of general PHAST meetings at least 1 week in advance (may be through newsletter and/or email)
- Oversee, on a weekly basis, the preparing of PHAST information for the Providence Hall Newsletter.
- Perform such other duties as may be prescribed in these bylaws or assigned to him/her by PHAST or by the Board of Trustees.
- Oversee and update as needed the PHAST blog and Facebook page.
- Oversee the Advertising committee
Volunteer Director
- Find volunteers to help with school activities, projects, or committees (both PHAST and school sponsored). This includes: contacting Committee Chairs to see what their volunteer needs are; writing articles for the newsletter, Facebook, and the PHAST blog; calling people from the list of PH families; making sign-up sheets to have at back-to-school night; etc.
- Compile and keep up-to-date a list of Providence Hall families. This list has PH families with children listed by grade and class. Class lists are received from the school secretary (Kathy Davis). The list includes phone and email information along with a list of activities that people would like to volunteer to help with. This list is also used by the Box Top Coordinator, the School Directory Organizer, and the Treasurer (back to school donations and book fair coupon).
- As emails are rejected, make phone calls to update the master list.
- As students enroll or withdraw from the school throughout the year, update the information on the spreadsheet.
- Keep track of volunteer hours (using HelpCounter software) and produce a monthly report of people who have volunteered their required hours.
- Help volunteers who have questions on the volunteer software.
- Oversee a committee of people who will help with data entry (back-to-school volunteer survey) and send out “Thank You” emails to volunteers as they pass various milestones.
- Oversee the Room Parent Coordinator. Help get room parents for each classroom. Oversee a Room Parent Tea at the beginning of the year to give information to the Room Parents.
- Organize something at the end of the year to show appreciation to the school volunteers – has been in conjunction with Uniform Swap.
- Survey PH families on volunteerism
- Put together ballot for PHAST elections
